Reminder

Were taking a break! There is no guild meeting this month. Enjoy your family and friends, go on a trip or be a tourist in your own town. Hopefully youll also find time to do some creating. See you on September 18. 👋

Changes to Policies and Procedures

Over the past several months, the executive has made some changes to the guilds Policies and Procedures. These are outlined below. Please take some time to review them. Feel free to reach out if you have questions or comments. president@vancouvermodernquiltguild.ca

CHANGE #1  P/P 1.3  Mailing address

Delete mailing address.

Reason: As a registered BC Society we are required to have a mailing address.  However, we don't receive any physical mail and are opposed to paying $200/year for a box. An executive member's home address is used to satisfy the requirement.

CHANGE #2  P/P 1.4  Change AGM date

Change AGM from January to December.

Reason: As a registered BC Society we are required to have an AGM every calendar year. During the pandemic we, like many other societies, were granted extensions to both meeting and filing dates. These extensions no longer apply.

Our guild fiscal year ends on October 31 and we will hold the AGM in December. For 2023, it will be during the regular guild meeting on December 18.

CHANGE #3  P/P 2.4.1 Compensating members for teaching

Adding: Members will not receive compensation for teaching or presenting to guild.

Reason: The guild’s executive encourages members to share their knowledge, skills and experience with fellow guild members at monthly meetings. This can be in the form of a short demo, a trunk show or a longer presentation. Members will not receive compensation for these presentations. The decision takes into account that VMQG is a volunteer-run organization and none of the executive or committee leads receive compensation for the work required to organize meetings, activities and the Showcase. Members interested in teaching a ‘for fee’ workshop may bring their proposal to the executive for consideration.

CHANGE #4  P/P 5.3  Funds held in reserve

Adding:  The VMQG will hold a surplus of $1,000 (CDN) on its balance sheet each year.

Reason: This surplus is intended to allow the organization to offset any material drop in membership to below 50 people, or other significant revenue shortages from other unidentified sources. Currently, membership fees are the key revenue source for VMQG and this surplus would allow VMQG to function for one year without impacting its fixed expense programing.

Slashed Block
